Who Needs a Visa?

Participants from certain countries require a visa to enter Italy.

Types of Visas

The most common visa for attending scientific or academic conferences is Short-Term Visa (Type C – Tourism/Business)

Processing Time

We recommend that you apply for your visa well in advance (at least 4-6 weeks before the event) to allow enough time for processing.
Visa processing times can vary by country, so it is your responsibility to follow the procedures and timelines provided by your local embassy.

Invitation Letter from the Conference

We provide an official invitation letter for visa purposes upon request.

Please note that this letter is purely for visa support and does not imply any financial assistance.

To request the invitation letter, please:

  • Ensure you have completed your registration for the conference.

  • Send an email to isicp2025@promoest.com with the following details:

    1. Full name

    2. Passport number

    3. Date of birth

    4. Affiliation (university, institution, etc.)

    5. Country of residence

    6. Conference registration receipt

Required Documents

When applying for a visa, you will need to provide the following documents:

  • Valid passport: The passport must have been issued within the last 10 years and should be valid for at least three months beyond your planned departure date from the Schengen Area. (Source)

  • Proof of conference registration: A certificate or receipt confirming your conference registration.

  • Invitation letter from the conference: An official letter provided by the organizing committee, which is necessary for the visa application.

  • Hotel and flight reservations: Documents confirming your accommodation and flight bookings.
